Setting Up Your Institution

How do I create an Institution?

You can set up multiple Institutions under your organisation. These Institutions can be of different branches or divisions of your organisation.


Note: Only an Account Administrator can create Institutions in an account.

(The Account Administrator is the main account holder who is in charge of overseeing the entire network of Institutions)


To set up your Institution:


  1. In the Admin Panel, select Institutions under Personnel on the leftmost column. 

  2. Click Create Institution in the top right corner. 

  3. Select your Country and City from the drop-down menus. Enter the Full name and Short name of your Institution. Then, upload an image for the School logo. 

  4. Click Add Administrator and search for the specific person you wish to add. This is best done later after you have added your Administrators.

  5. Toggle Schedule Settings on if you wish to set this up now - but you will be limited in your ability to make further changes once an Academic Year is saved. Learn more about setting up Schedule Settings.

  6. Click Create Institution in the bottom right corner.

Why can’t I create an Institution?

Only an Account Administrator can create new Institutions. 

If you would like to designate a new user as an Account Administrator, please contact your nearest BeED representative.

Why can’t I view the list of all Institutions in my organisation?

Only an Account Administrator can view the full list of Institutions. Other Administrators can only view the details of the Institution(s) they are assigned to.

What can I do with the Schedule Settings?

In the Schedule Settings section, you can set your Institution’s time schedule by specifying the Academic Year, Terms, Study Days and Shifts.


Note: Once an Academic Year is saved, you will be limited in your ability to make further changes to the Schedule Settings. Remember to double check your settings before you save.


To set up your Institution’s Schedule Settings:


  1. Access the Schedule Settings page in the Admin Panel:

  • For a new Institution, toggle the Schedule Settings on while setting up your Institution.

  • For an existing Institution, click on the pencil icon next to the Institution’s name (listed in the Institution page).


  1. Select the Academic year from the drop-down menu.

  2. Click Add Terms to add study terms/ semesters an Academic Year is divided into.

  3. Select Study days.

  4. Click Add Shift to add up to three separate shifts.

  5. Click Add Duration to specify the lesson periods/ time slots within each shift.

Before proceeding to the next step, remember to double check all the information.


  1. Click Create Institution (new) or Save (existing) in the bottom right.
